Events & Programs · Fractional RevOps

Grow every event without starting from scratch each time

Sponsors, speakers, attendees and partners in one flat list, reports that take a day, and every cycle starting over. We bring it all into one system that scales with you, so your team spends its time on people and programs, not spreadsheets. Then we keep it running as your part-time RevOps team.

What we see in almost every event business we audit

Everyone's in one flat list.

Sponsors, speakers, attendees and partners all look the same. You can't build the lists you need.

We can't get the reports we need.

Attendance by year, sponsors by renewal, engagement across events. Every report takes hours of manual work.

Nobody planned for year two.

This year's attendee is next year's speaker or sponsor. Every cycle starts from scratch.

Key relationships live in someone's inbox.

Funders and partners tracked in personal email threads. When people move on, the history goes with them.

What we set up

A database that matches how your relationships work

1HubSpot

One person, many roles, no duplicates

Sponsors, speakers, attendees, funders and alumni in one structure that tracks how roles change over time.

  • Separate stages and messages for each audience
  • One record per person across every event
  • Event platforms connected, so registrations flow in

So you can build any list you need in minutes.

Example: One person, many roles, no duplicates
2Ads and marketing channels

Registrations from the right audience

Paid ads timed around launch and registration windows, where they earn their keep.

  • Campaigns timed to registration windows
  • Past attendees reminded before the next cycle
  • Registrations tracked back to each channel

So you can fill seats without guessing which channel worked.

Example: Registrations from the right audience
3AI and agents

Renewals and returners you'd otherwise miss

Sponsor renewals and past attendees tracked, with an agent that drafts the next conversation.

  • Sponsors flagged before renewal is due
  • Drafted outreach for your team to check and send
  • Dashboards for sponsors and funders

So you can keep relationships going between events.

Example: Renewals and returners you'd otherwise miss
What we've learned

From edtech, not-for-profits, policy centres and member networks

01

Most event businesses don't think they have a CRM problem.

They say the database is messy or the reports don't work. Map the audiences and the manual work, and it's clear the structure needs rebuilding.

02

The real complexity is people changing roles.

A sponsor contact this year might be a speaker next year and an advisor after that. We build for that from the start.

03

Sometimes the scope needs to change.

Some portals are tangled enough that patching won't work. It's better to know that upfront.

04

Training matters more than features.

Event teams are small and busy. Simple systems, clear workflows and good training are what get used.

FAQ

Questions event businesses ask us

Can one person be an attendee, a speaker and a sponsor?

Yes. We set up one record per person, with their role at each event recorded, so the history builds up instead of creating duplicates.

Can you connect our event platform to HubSpot?

Often, yes. Eventbrite, Zoom and similar tools can usually send registrations straight into HubSpot. We check what you use first.

Can you build reports for sponsors and funders?

Yes. Dashboards show engagement by audience, attendance trends and sponsor pipeline, so renewal conversations start with the numbers.

Our portal is a mess. Do we have to start again?

Not always. A HubSpot Audit shows what to keep, what to fix and what to rebuild, before any work starts.

Do we need Google Ads?

Not always. For many event businesses it isn't the main channel. We use it where it earns its keep, and other channels where they fit better.

Can you train our team?

Yes. Training is part of every implementation, at a pace that suits a small team, so people are confident before we hand over.

We already have a CRM. Do we have to move to HubSpot?

Not for ads. We work with any CRM, as long as someone looks after it properly. For CRM work, HubSpot is what we specialise in.

How do we get started?

Book a call with Alyssa. If we're a good fit, we run a discovery workshop and send a plan for you to sign off before any work starts.
